Billing - Adding a Deposit Due Posted by: travia1010

I am new to Time Matters and was asked to add a deposit that is due from a client towards future fees on the last invoice we sent out.  I tried changing the retainer minimum balance from zero to that amount and it showed up under the funds area with a comment section which I changed to read "Deposit Due per Agreement" per our lead attorney.  The total due was also correct.  However, the lead attorney wasn't happy with the way it looked and instead asked that I add it as an expense for that invoice - even though it was actually to be applied to fees when payment was received.  That gave us the correct totals he was looking for - there had also been a large credit applied to the previous balance.  There was no place to add it in the A/R tab - adding a negative credit didn't work as I got a message the payment was "overapplied".  

We have  now received a payment which covered that amount, and TM applied to towards expenses, not fees, since that is where it appeared on the invoice.   I can record it correctly in our bank account (QuickBooks) and in the compensation sheets I keep for the attorneys, but it won't match up with the TM entry.  Was there another way to have entered this deposit due per an agreement with the client that would have caused TM to apply the payment correctly?

What is a Feature Package?

A Feature Package is a Time Matters template designed for a specific area of practice.  A Feature Package may include form styles, unique power views, checklists/outlines, document preparation and tracking features, task delegation and automation systems, and workflow management for a particular practice area.  All of these features are packaged together in such a way that they can be installed into an existing Time Matters implementation.

Why should I consider a Feature Package?

Customizing Time Matters allows you to use the program the way your firm practices law but can be costly in terms of time (yours and ours), money or both.  Feature Packages are a cost effective and fast way to implement Time Matters customizations because they provide you with hundreds of hours of customization time at a fraction of the per hour cost of customizing from scratch.     

Why should I purchase my Feature Package from IP Associates?

How do I go about purchasing a Feature Package?

How many licenses do I need to purchase?

You must purchase one license for every Time Matters license that you have.  For example, if you have 10 Time Matters user licenses, you must purchase 10 IPA Feature Package licenses.  A screen capture showing your current number of users is required. We will request this via email upon receipt of your order.

Further, if you add any additional Time Matters licenses in the future, you must subsequently purchase additional IPA Feature Package licenses.

What If Only a Few Users at My Firm Need a Specific Feature Package?

When a Feature Package is installed, it becomes available to all users of the Time Matters database.  As we have no way of confirming or monitoring which users are using the various features, we have no choice but to require licenses for everyone.

Do I install my Feature Package myself?

The purchase of your Feature Package includes installation by an IP Associates Consultant.  Your Feature Package should be installed by an IP Associates Consultant or by another Time Matters Certified Independent Consultant (CIC).  If your feature package is installed by someone other than an IP Associates Consultant or a Time Matters CIC, our 60 Day Satisfaction Guarantee is void.

What additional information do I need about the install?

In order for the Feature Package to install properly, Time Matters must be installed on at least one workstation, your Time Matters database must be functioning properly and all users must be setup in the Time Matters database.  A backup of your Time Matters data prior to installation is highly recommended.

Are instructions included with my Feature Package?

Your Feature Package includes a PDF manual.  Copies of the manual may be printed and distributed within your firm.  The manual serves as a reference guide for your daily use of your feature package.  It includes working examples and screen shots of the modules purchased with your Feature Package.

Is additional training or consultation available?

Will I need additional customization after purchasing a Feature Package?

Because each firm’s practice is unique, you may desire some additional customization.  Many of our clients require no additional customization.  For others, a Feature Package provides 70-90% of the necessary customization.  IP Associates can assist you with this customization or refer you to a local CIC.  

What If I Need Technical Support?

If, at any time, your Feature Package does not appear to be working according to the documentation, please contact IP Associates by sending an email to kristenc@ipassoc.com.  An IP Associates will contact you as soon as possible, usually within 24-48 hours.

Where Can I Find the End User License Agreement?

The End User License Agreement is included in the documentation for your Feature Package.  It can also be viewed on the IP Associates website within the Support Forums, Product FAQ section.

Why is Maintenance Required on Some Feature Packages?

Some of our Feature Packages contain links to automated forms and other content provided by LexisNexis or other third parties.  This content changes from time to time.  In order to keep your Feature Package current, it is necessary for us to make changes to the links within the Feature Package.  Maintenance also allows us to provide updates to our Feature Packages based on changes to the underlying Time Matters software.  Maintenance is the most economical way for us to provide this service.  

Can I Purchase Maintenance Even If My Feature Package Does Not Require It?

Yes.  Even where updates are not required due to third party content changes, purchasing maintenance gives you access to Feature Package updates based on Time Matters changes.  For example, if the next version of Time Matters includes a new feature that we take advantage of in one of our Feature Packages, you would be entitled to a Feature Package update that includes this feature.

I am a new user.  Will this be over my head?


No.  The Boot Camp is designed for users of all experience levels.  The morning agenda consists of basic Time Matters use and functionality.  The afternoon  is somewhat more advanced but will introduce you to some of the more powerful features Time Matters has to offer.

I am an experienced user.  Is it still worthwhile for me to attend?


We have found that even the most experienced users who attend the Boot Camp learn something.  We have even heard this from CICs in attendance!  We   teach advanced techniques as well as useful but relatively unknown features. There is something for everyone at the Boot Camp.  

What version of the program is used for the Boot Camp training?  Do I need to be on the same version?


We typically use the latest version of Time Matters for our training, switching to the new version sometime in October.  However, the Boot Camp is useful for  users of any Time Matters or LexisNexis Total Practice Advantage.  We point out which features, if any, are applicable to newer versions.

Does the Boot Camp include any Billing Matters training?

Not specifically.  The Boot Camp focuses on Time Matters.  Where appropriate, some Billing Matters features are mentioned but it is not the focus of this       Boot Camp.  For Billing Matters, you will want to attend the Billing Matters Boot Camp.

How is the program presented?

Time Matters Boot Camps are presented in an interactive "Presentation" format.  We control a computer that is projected onto one or more screens inside the training room.  Attendees are free to ask questions throughout the day and all attendees receive an extensive handout to follow along.

Are laptops provided for every user?

No.

Can I bring my own laptop?

Yes.  You are free to bring your own laptop and follow along with your own Time Matters or Time Matters training mode data.  Please note that we cannot stop the presentation to help individual laptop users.

Will there be wireless Internet access for my laptop?

Maybe.  IP Associates does not own the facilities at which our Boot Camps are conducted.  We never know in advance whether the location has wireless Internet access.

What is the deadline for registration?

There is no deadline for registration.  We even accept walk-ins.  HOWEVER, registering by the Friday prior to the Boot Camp is very much appreciated.  This ensures that we have enough handouts, refreshments, etc., on hand for everyone.  If you register after the previous Friday or walk-in, we reserve the right to provide handouts to others who did register earlier before providing them to late registrants.  Should this be the case, we will mail a copy of all handouts to you.

To encourage early registration we have an early bird deadline that is usually several weeks prior to the Boot Camp.  If you sign up before this date, a discount applies.

What time does training start?


We have a lot to cover.  Registration starts at 8:00 a.m.  Introductions and training start at 8:30 a.m.

I cannot make it on that date - what are my options?

We offer Boot Camps all over the country.  You are free to join us in any other city.  You are also free to contact us via our Contact Us page.  We can advise you on your other training options with IPA or a local Certified Independent Consultant.  We also offer web training on advanced Time Matters features.

Do you offer any advanced or follow-up training?


Yes.  Use our Contact Us page to inquire about specific advanced training.  We offer web training on advanced Time Matters features.

What about building security, parking, etc.?

It is always a good idea to bring a picture ID with you to a Boot Camp.  Many are held in downtown high-rise office buildings where security is tight.  For parking information, we suggest calling the location where the Boot Camp is being held.  The staff at the location can provide you with parking information, public transportation and hotel options.

Are the Time Matters Boot Camps sponsored by LexisNexis?

No.  The Boot Camps are presented by IP Associates, LLC.  LexisNexis is kind enough to provide notice of our Boot Camps by both mail and email as well as provide fabulous training locations in many cites.  However, all Boot Camp content and materials are a product of IP Associates, LLC.

What is LNTPA and why should I attend the lunch session?

LNTPA stands for LexisNexis Total Practice Advantage.  LNTPA is a new product from LexisNexis that is built on Time Matters but expands it to include links to all of the LexisNexis content you subscribe to.  LexisNexis is so excited about this new offering that they will provide lunch to all Boot Camp attendees who view a demonstration of the product over the lunch hour.  Yes.  There is such a thing as a "free lunch."

I noticed the training materials and feature packages on your website.  Can I learn more about them at the Boot Camp?

Absolutely.  Copies of our Time Matters User Guide are on sale at every Boot Camp and we provide order forms for all of our other products.  During presentation breaks, you are free to ask us any specific questions about our feature packages, training materials and other products and services.

What is your refund policy?

If you cancel your Time Matters Boot Camp reservation more than seven days prior to the event, you will receive a refund of your registration fee less $25.00.  If you cancel less than seven days prior to the event, you will receive a refund of your registration fee less $75.00.
